Turn Every Repair Visit Into a Story Customers Can Follow
For a repair shop, a vehicle visit is a clear sequence: the vehicle arrives, the team inspects it, recommendations are made, decisions are recorded, work moves forward, and the final documents are prepared.
For the vehicle owner, that same visit can feel like a collection of disconnected moments.
They may receive an estimate in one place, inspection photos in another, a status update by phone, and an invoice later. Even when your team communicates well, customers can still wonder: What has happened so far? What needs my attention? What did I approve? What work is being completed? What should I do next?
Service Story, now available in the Client Portal, brings those answers together in one guided, shop-branded experience.
Instead of asking customers to piece together a visit from separate records, Service Story presents the most useful information as one clear narrative—from the vehicle and current status to inspection evidence, recommendations, recorded decisions, work progress, documents, totals, and the next useful action.
The result is more than a better-looking work-order page. It is a new way to keep customers informed, confident, and connected to your shop throughout the service relationship.
One visit, one clear experience
Service Story is designed around the questions vehicle owners naturally ask during a repair visit.
What is happening with my vehicle?
At the top of the story, the customer sees the vehicle, the shop’s current status for the visit, and the important dates your team has recorded. A simple timeline shows confirmed milestones—such as the visit opening, work starting, completion, and payment—only when those events actually exist in the shop record.
That gives the customer a quick, honest answer without forcing them to interpret internal repair-shop screens or call for a routine update.
What did the shop find?
When a digital inspection is connected to the visit, Service Story brings the customer-visible findings and rich media into the same experience. Customers can review the evidence behind a recommendation instead of seeing an isolated line item with little context.
Clear inspection information helps customers understand not only what your team recommends, but why it deserves attention. That context can make the difference between a recommendation feeling like an unexpected charge and feeling like informed professional advice.
Is there anything I need to decide?
Eligible recommendations are presented as a focused next step. The customer can review the relevant part or service and, where available, authorize it or postpone it for later.
The complete estimate remains available whenever the customer wants the full approval context. This keeps Service Story simple while preserving access to the formal record.
What work is included, and how far along is it?
Service Story organizes the visit’s parts and services into an easy-to-scan view, including recorded progress and decisions. Shop notes, customer-visible documents, totals, and links to the complete invoice or estimate remain close at hand.
Customers no longer need to jump between several pages just to reconstruct the visit.
What should I do next?
The page adapts its next step to the visit. A customer may be invited to review recommendations, follow the work, open the invoice, or book another appointment. They can also message the shop from the Service Story without losing the visit context.
Every story is built to lead naturally from understanding to action.
Better insight creates a stickier customer relationship
Client portals are often treated as filing cabinets: useful when a customer needs an old invoice, but easy to forget between visits. Service Story gives the portal a more active role in the customer experience.
Customers have a reason to return during the visit
A Service Story can change as the shop records meaningful progress. Instead of opening the portal only after the work is complete, customers can return to understand the current status, revisit inspection findings, review recommendations, and see what comes next.
That repeat engagement helps the Client Portal become a familiar part of doing business with your shop—not just a place where old paperwork lives.
Transparency builds confidence
Customers are more comfortable making service decisions when the explanation, evidence, and next step are easy to understand. By bringing inspection findings, recommendations, recorded decisions, and progress together, Service Story makes your work more visible without exposing confusing internal details.
The customer sees a professional account of the visit under your shop’s identity. Your process feels organized, your recommendations have context, and your communication remains available in one place.
Better-informed customers can decide sooner
Uncertainty creates delay. When customers cannot easily see what was found or what is waiting for their response, they may postpone a decision simply because the next step feels unclear.
Service Story puts actionable recommendations where customers can understand them. When they are ready, they can respond from the same guided experience. That reduces friction between “I need to think about it” and a useful decision.
The end of one visit can become the beginning of the next
The relationship should not disappear when the current repair is finished. Service Story keeps the next action visible and provides a direct path to book follow-up service.
If an item is postponed, additional care should be discussed, or the customer simply wants to plan the next visit, your shop is already the natural destination. The customer does not need to search for another provider or start the conversation from zero.
A richer experience gives customers another reason to choose your shop
Many shops can send an invoice. Far fewer give customers a polished, ongoing explanation of the entire visit.
That difference is memorable. When customers can see the work, understand the recommendations, communicate directly, and act without confusion, the portal becomes part of the value your shop provides. The experience reinforces a simple message: this shop keeps me informed and makes vehicle care easier.
That is the kind of convenience and trust that can encourage customers to return and book more of their future service with you.
A typical Service Story journey
Imagine a customer leaves their vehicle with your shop and later opens the Client Portal from their phone.
They open Service Story and immediately see the vehicle, the visit status, and when the job was opened. An inspection section shows the findings your team made visible, including supporting media. Two recommendations need attention, so the next-step panel takes the customer directly to them.
The customer reviews the evidence, authorizes one item, and postpones the other. They can then see the work included in the visit, follow recorded progress, and send a question to the shop without leaving the story.
When the visit is complete, the same experience points them to the full invoice and makes it easy to book follow-up service when they are ready.
At every stage, the customer knows where to look and what to do. Your team remains the source of the information, but the customer can understand it on their own schedule.
Built around your shop, not ours
Service Story is a white-label Client Portal experience. It presents the visit as a direct relationship between the vehicle owner and the shop, using the available shop identity and the customer-facing information your team has already recorded.
It works on desktop and mobile, supports all four Client Portal languages, and adapts gracefully when an older visit has less information. Customers can still open the complete invoice, estimate, or inspection whenever they need the canonical document and its full workflow.
There is no need to create a separate customer narrative for every visit. Service Story organizes the useful information already connected to an eligible work order and turns it into a cohesive experience.
Where shops and customers can find Service Story
Service Story appears for eligible work orders in the authenticated Client Portal. Customers can open it from three places:
- Dashboard: Open the Service Story shown for an eligible active visit.
- Work Orders: Find the visit and select the Service Story action.
- Invoices: Open an eligible portal invoice and select Service Story near the top of the page.
If a record does not represent an eligible work order, the Service Story action is not shown. The customer’s existing invoice, estimate, inspection, payment, and appointment experiences continue to work as before.
How to get the most value from it
Service Story becomes more useful when the customer-facing visit record is clear and current. A few good habits can make the experience especially strong:
- Keep the work-order status and meaningful progress up to date.
- Use digital inspections and include helpful customer-visible findings and media.
- Mark recommendations clearly so customers know what needs a decision.
- Record approvals, postponed work, and completed services consistently.
- Add useful customer-facing notes and documents when they help explain the visit.
- Invite customers to use the Client Portal and tell them where to find their Service Story.
- Encourage customers to message your shop or book their next visit directly from the portal.
You can introduce it with a simple message:
“You can now follow this visit in your Client Portal. Open Service Story to see the current status, inspection information, recommendations, work details, and next steps—all in one place.”
That one invitation can help customers discover an experience they will want to use again.
Make every visit easier to understand—and your shop easier to return to
Great service is not only the work performed in the bay. It is also how clearly the customer understands that work and how confident they feel about what happens next.
Service Story turns the information your shop already records into a guided customer experience. It helps vehicle owners follow the visit, understand recommendations, review evidence, make decisions, stay in touch, and move toward the next appointment without unnecessary friction.
For customers, that means clarity and control. For shops, it means a stronger digital relationship, more opportunities to stay connected, and a Client Portal that can support repeat business instead of simply storing documents.
Invite your customers to open their next Service Story—and show them what a truly transparent repair experience can feel like.
